The promise

FreshFlip turns "I think it's clean" into "I know it's clean." It gives everyone the same single source of truth: what needs cleaning today, what's coming tomorrow, and what's ready for guests.

Status language

Status Color Meaning
DIRTY Red Guest checked out. Not yet cleaned or verified.
CLEANING Yellow Cleaner opened their session. Work in progress.
READY Green Proof submitted. Unit verified guest‑ready.
OCCUPIED Blue Guest currently staying. No action needed.

Core workflow

  1. iCal sync creates turnovers from your Airbnb checkout schedule (syncs every ~3 hours)
  2. Unit flips to DIRTY on checkout day
  3. Cleaner opens their session → unit moves to CLEANING
  4. Cleaner uploads proof photos + notes → marks READY
  5. Host/co‑host sees the real status — not the hopeful status

Roles

Owner (Host)

Creates the account, adds units, manages billing, invites co‑hosts and cleaners. Full visibility across all units.

Co‑host

Sees assigned units. Can manage cleaners and turnovers for those units. Cannot access billing or other units.

Cleaner

Sees only authorized units in their queue. Opens sessions, uploads proof, adds notes, marks ready. Uses magic links — no app needed.

Daily rhythm

When Owner / Co‑host Cleaner

Your job is to remove unknowns. FreshFlip gives you the tools. This section is your daily‑ops checklist.

Morning checklist (5 minutes)

Operational best practices

Cleaner playbook (SOP)

Cleaners should never need to guess. FreshFlip is your queue + safety gate. Work top to bottom. When blocked, it's protecting you from walking in on guests.

Morning routine

  1. Open FreshFlip on your phone (magic link or bookmark)
  2. Check Today — these are units you need to clean
  3. Start from the top. If a unit is gated (locked), skip it and return later
  4. When the gate opens, tap to start your session
  5. Clean the unit, upload proof photos for each prompt, add notes if needed
  6. Mark the unit READY
When a unit shows "Not available yet — guest may still be inside," do NOT enter. Wait for the scheduled checkout time, or contact the host.

When blocked

Cleaner Today (the landing page)

The cleaner app lands on Today because that's where decisions happen.

Work top to bottom. Finish one before starting the next.

Tomorrow‑first planning

Every cleaner digest and queue has two sections:

  1. Tomorrow's Work — checkouts tomorrow + anything checking in tomorrow that isn't green yet
  2. Future — sorted by checkout date, sub‑sorted by next check‑in
Plan your route the night before. Check your digest email every evening.

Safety: prevent "walking in on guests"

When it's too early, the cleaner sees a clear block message:
"Not available yet — guest may still be inside."

The safety gate uses the unit's checkout time to determine when a cleaner can start. This prevents the most common and dangerous mistake in short‑term rental cleaning.

Late checkout

Late checkout is per turnover, not permanent on the unit. The late time becomes the cleaner's start gate for that turnover only.

Guest left early

When a guest messages "We're out":

  1. Host/co‑host taps "Guest Departed" on the turnover
  2. The safety gate opens immediately
  3. The cleaner's queue updates — unit becomes available to start
This lets cleaners start safely without waiting for the scheduled checkout time.

Proof + notes

FreshFlip's "trust" comes from proof, not assumptions.

A unit stays DIRTY until proof is submitted. No shortcuts.

Morning reports + email digests

FreshFlip sends automated emails to keep everyone aligned without opening the app.

Enable digests in your host settings. Cleaners receive reports automatically when assigned to units.

Helper forwarding

When a cleaner needs backup for a specific turnover, they can forward their magic link to a helper.

Host calendar

A multi‑unit calendar view that shows all your properties at a glance — who's checking in, who's checking out, and what's coming up.

The calendar is read‑only. To change bookings, update them in Airbnb/VRBO — FreshFlip syncs automatically.

Cleaning history

A searchable log of every completed turnover — for both hosts and cleaners.

What if a cleaner can't upload photos?
Photos are required per prompt. If there's trouble, contact the host. The unit stays DIRTY until proof is submitted — no shortcuts.
Can I have different checkout times per unit?
Yes. Each unit has its own checkout time, which controls the safety gate for cleaners.
How do emergency notes work?
When a cleaner adds a note flagged as "emergency" (damage, safety concern), FreshFlip immediately emails the host and co‑hosts for that unit.
Is there a contract?
No contracts. Monthly or annual billing. Cancel anytime. Annual plans save 17%.
